Record Keeping

The Yale Club stores its records in two areas: (a) online on our website under Shawn Tan’s charge; and (b) physical records at MENU Pte Ltd under the charge of Devin Kimble.

Since start 2007, the Club started updating our records online as well (in addition to our physical files) on our website. The records Members will be able to find online include:

  • Report of Past Yale Club events;
  • Summary of Upcoming Yale Cub events;
  • Notes and supporting documents for Exco meetings / Annual General meetings, including documents for Registry of Society Filings (Notes of meeting, election results, Annual Financial Statements etc);
  • Information on Ideas and Initiatives launched under the Yale Club Singapore umbrella; and
  • Others.

Putting our records online serves multiple purposes, some of which include:

  • creating greater accountability of the Exco on performance vis-a-vis activities and operations;
  • facilitating Member’s queries about Club activities and operations; and
  • facilitating Exco’s sharing of soft copies of notes of meetings, constitution and account statements for Club purposes.

That said, the online records are a focused subset, from an information on activities and transparency standpoint, of the overall records held in physical form at Menu Pte Ltd. Much of the information we hold as physical records are also very much operational in nature, e.g. forms regarding change of signatories for bank account each time we change Treasurers etc., which we would not want to innundate our members with. The physical records also serve as a backup just in case wordpress tries to do something funny.
